If there is not already a Default View then it is advisable to create one before proceeding. Click on the pencil icon to begin
Clone View to create a Default View if one does not exist
This will create another view with a (c) which indicates a cloned version
In the View Title box, name it Default View and Save
For the Default View you want to create New Filter and save with the remaining view in place and leave named as New Advanced Filter
Select New Inventory, Caption Default View, Inventory View is Default View, Filter is the New Advanced Filter and Save
You have now created a Default View which will always return you to the original view.
That completes the creation of a Default View without making any changes to the view itself from the Out of the Box Customer Inventory.
To create your own view, click on the pencil icon. Note: You should only create your own views once a Default View is in place.
Return to the original Custom Inventory and click on Clone View
Open up View Information and give your inventory an appropriate name and minimize the section.
Expand the Configure Columns section which displays. on the left, the fields already displayed in the view and, on the right, all of the additional fields available.
Use the trash can to remove columns you don't want in your view. You can bring in columns from the right hand side by clicking and dragging. On the left, you can click and drag to reorder as appropriate.
You can click on the Preview button to have a look at the view you have created before saving.
Expand the Group Columns if you wish to use this function to put the display into groups of some description. This could be By Person or By Location etc. Click and drag from the categories on the right into the box on the left.
As an example, by Assignee. Once done, click on Save View.
Your view will now display all of the columns in your view grouped by your choice. An additional feature is the + button after each name. This allows a new entry to be made in the same way you would click on Add Entry.
Summarize Columns and Highlighting is only for use with numerical data within your columns. E.g if you wanted to sum a column of numerical data, you can sum them and add a condition of a value is below or above a certain value or matches a certain condition.
Leaving the filter as New Advanced Filter will filter records based on your active location. Global will show all, set to a specific location will show records based on that location only.
Click on New Filter if you want to set up your own personal filter and apply.
Set the conditions you require an Apply/Save
Give your new filter a name
Set the conditions and Save Filter
Now my records show those which match my chosen filter
Now create your New Inventory so it can be selected from the menu in future in the top right corner of your screen.
Give your new view a Caption, Find your new Inventory View and your Filter and Save
ACCESS RIGHTS
By default, the Everyone group automatically gives every employee the rights to create their own custom view. The following steps show how to remove this right for everyone and apply to specific groups/employees. Irrespective, all employees can always choose and view customer views but they cannot edit them or make new ones.
Go into the Employee Administration setup and choose Employees and open any employee record.
Scroll down to Groups section and open the Everyone group
To remove rights for everyone to create and/or edit customer views, put a check mark against Access Custom Inventories Panel and click Detach Entry. You can apply this right to other groups as appropriate if you require less individuals to perform this task.
